Duties and Responsibilities
President office directorate is a backbone of the university’s operating system that integrate and streamline the overall university wide work relationship based on the vision and mission of the university.
This role requires a mix of strong organizational, communication, and problem-solving skills, as well as the ability to manage complex tasks and sensitive information effectively. The Special Assistant to the President is often a key figure in maintaining the smooth operation of the president's office and ensuring that institutional goals are met. This position is essential for ensuring that the president's office functions efficiently and effectively.
Scheduling & Calendar Management: Prioritize meetings and travel arrangements to optimize the president’s time.
Correspondence Management: Handle all incoming and outgoing communication.
Drafting & Editing Documents: Prepare speeches, reports, and other important documents.
Meeting Preparation: Prepare materials and ensure the president is well-prepared for key meetings.
Internal Communication: Serve as a bridge between the president’s office and university departments.
External Communication: Represent the office to external stakeholders (government, donors, media).
Public Relations Support: Ensure consistency in the president's public messaging.
Event Management: Organize high-profile events for the university.
Travel Arrangements: Plan and organize travel logistics for university-related trips.
Special Projects: Oversee or assist in projects initiated by the president.
Strategic Planning: Assist in developing and executing the university’s strategic goals.
Research Support: Provide research on relevant topics to support decision-making.
Data Analysis: Analyze data that informs key university decisions.
University Policies: Assist in reviewing policies to ensure they align with goals and regulations.
Compliance Support: Ensure university practices meet governmental and accreditation standards.
Board Support: Assist in preparing for board meetings and provide necessary information.
Governance Support: Facilitate senior leadership meetings and strategic planning.
Confidentiality: Handle sensitive information with discretion.
Conflict Resolution: Address and resolve issues that arise within the university community.
Providing Advice: Offer strategic guidance to the president based on a deep understanding of university operations.
Problem Solving: Identify and address issues in university operations and academics.
Serving as a Representative: Represent the president at meetings and events.
Overseeing Special Initiatives: Lead or coordinate special projects delegated by the president.
Other additional duties: The directorate will perform additional duties given by the President as required.
